Job Summary

This position supports the operational effectiveness of the Government Affairs & Public Policy function by coordinating department operations, business processes, budgets, vendor management, meetings, projects, and cross-functional initiatives. Serves as a central point of coordination across the department, helping ensure priorities are executed efficiently, operational processes run smoothly, and strategic initiatives remain on track. Working closely with Government Affairs & Public Policy leadership, this position partners with Finance, Procurement, Legal, Compliance, Communications, and other internal stakeholders to manage department operations, improve organizational processes, and facilitate execution of department priorities. The ideal candidate is proactive, highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment while exercising sound judgment and discretion.

Responsibilities

Business Operations

  • Serve as a central point of coordination for Government Affairs & Public Policy operations, helping ensure department priorities are executed efficiently and cross-functional activities remain aligned.
  • Manage departmental vendor relationships, including onboarding, contracts, purchase orders, invoices, accruals, renewals, and procurement activities in accordance with company policies.
  • Coordinate annual budget planning, quarterly forecasts, expenditure tracking, reconciliations, and financial reporting in partnership with Finance and Procurement.
  • Maintain department operating procedures, templates, trackers, and documentation.
  • Identify opportunities to improve operational efficiency through process improvements, standardization, automation, and best practices.

Department Operations

  • Maintain the department's annual operating calendar, including planning cycles, budget milestones, advocacy activities, conferences, recurring meetings, and key deliverables.
  • Support annual planning and quarterly business reviews through preparation of materials and tracking execution.
  • Provide operational support to Government Affairs & Public Policy Head, including coordination of leadership meetings, preparation of briefing materials, processing business expenses, assisting with reporting requirements, and other operational activities that support execution of department priorities.

Project & Program Coordination

  • Coordinate department initiatives and special projects from planning through execution.
  • Develop and maintain project plans, timelines, action-item trackers, and status reports.
  • Prepare meeting agendas, organize materials, document decisions and action items, and monitor follow-up.
  • Coordinate leadership meetings, planning sessions, conferences, and stakeholder engagements.

Political Action Committee (PAC)

  • Support operational administration of the company PAC, including meeting coordination, event logistics, vendor coordination, recordkeeping, contribution tracking, and related operational activities consistent with company policies and applicable legal requirements.

Cross-Functional Coordination

  • Partner with Finance, Procurement, Legal, Compliance, Communications, Global Government Affairs, and other business functions to facilitate execution of department priorities.
  • Monitor cross-functional initiatives, identify operational risks or competing priorities, and elevate issues as appropriate.

 

Perform additional operational responsibilities and special projects as assigned to support evolving business needs.

Qualifications

Education Qualifications
Bachelor's Degree required

Experience Qualifications
2+ years overall work experience required
1 or More Years Related work experience in project coordination, business operations, government affairs, public policy, finance, procurement, legal operations, or a related business function required
Proficient in Microsoft Outlook, Word, Excel, Power Point, Teams, and SharePoint required
Experience supporting Government Affairs, Public Policy, Healthcare, Legal, Compliance, or Corporate Affairs organizations preferred
Experience managing budgets, vendors, procurement, contracts, or cross-functional projects preferred
Experience working with senior level leaders and management levels; internal and external personnel preferred


Travel Requirements
Position is remote, with preference for Washington, D.C. or Basking Ridge, N.J. area. Some travel and evening/weekend work may be required.

Salary Range:

USD$31.98 - USD$47.97
