Purpose of the function

Roles and Responsibilities

• Congresses, Meetings and Event Coordination

• Coordinate congress participation, business meetings and healthcare professional engagements.

• Manage travel, registrations and logistical arrangements for employees and external stakeholders.

• Develop travel guides and practical materials for participants.

• Coordinate with internal stakeholders, external vendors and regional event teams.

• Support planning and execution of advisory boards, workshops, alliance meetings and other business events.

• Ensure efficient and compliant execution of activities before, during and after events.Compliance and Transparency Support

• Support transparency reporting and Transfer of Value processes.

• Maintain documentation and tracking related to healthcare professional engagements.

• Submit activity notifications and reports to relevant authorities and industry bodies.

• Support documentation, reporting and administrative follow-up in collaboration with Legal and Compliance.

• Ensure activities comply with company policies, industry codes and applicable regulations.Vendor, Contract and Procurement Coordination

• Create, maintain and update vendor records and supporting documentation.

• Support onboarding and management of external suppliers and service providers.

• Coordinate preferred vendor processes in collaboration with Procurement.

• Support contract administration related to healthcare professionals, vendors and external stakeholders.

• Manage purchase orders, goods receipt, invoice processing and related procurement activities.

• Support monthly financial closing activities, including follow-up on open purchase orders and related documentation.

• Support financial and administrative processes related to events, meetings and projects.Cross-Functional Business Support

• Provide operational and administrative support across business functions.

• Coordinate cross-functional projects, activities and stakeholder interactions.

• Act as a liaison between business functions and support functions including Compliance, Procurement, Finance and HR.

• Support implementation and continuous improvement of business processes and ways of working.

• Support resolution of procurement, invoicing and system-related process issues in collaboration with relevant stakeholders.

• Contribute to effective communication and collaboration across the organization.Onboarding and Employee Experience

• Coordinate onboarding programmes for new employees within the business functions.

• Schedule and coordinate introductory meetings and onboarding activities.

• Ensure new employees receive a structured and positive onboarding experience.

• Support employee engagement initiatives and workplace activities.Internal Events and Culture

• Participate in planning and execution of various internal activities and social events across the organisation.

• Support initiatives that contribute to a positive and collaborative workplace culture.

Education & Experience

Education: Relevant commercial educational background likely/preferably with a bachelor degreeExperience: Experience in working in an international/Nordic environment (preferable within the pharmaceutical industry)
